Choose the same printer on both devices and check whether a stuck job is holding the queue. Note which computer works before changing settings. At Little Fight NYC, we can help check the printer software and connection if the difference is unclear.

Check this first

  1. Print a test page from the computer that works, so you know the printer itself is ready.
  2. On the computer that fails, confirm it is on the same Wi-Fi network as the printer, not a guest network.
  3. Check that it has selected the same printer, not an old copy with a similar name.
  4. Open the print queue and clear any stuck job before sending a new one.
  5. Restart the failing computer, then try a one-page test.

Specific fixes

On Windows 11

  1. Open Settings > Bluetooth & devices > Printers & scanners and remove any duplicate or offline copy of the printer.
  2. Choose Add device. If the printer is not listed, choose Add manually and enter the printer’s IP address, which most printers can show on a network status page.
  3. If jobs stay stuck, open Services, restart Print Spooler, then send a one-page test.
  4. Install the printer maker’s current driver if Windows keeps choosing a generic one.

On a Mac

  1. Open System Settings > Printers & Scanners, select the printer, and remove it.
  2. Choose Add Printer, Scanner or Fax. If the printer is not listed, use the IP tab and enter its IP address.
  3. Open the print queue and resume the printer if it shows as paused.

On the router

  1. Reserve a fixed address for the printer in the router’s DHCP settings, so the address your computers saved does not change.

When to bring in help

  • The printer disappears again after it was added back.
  • Only computers on one floor, network, or account fail.
  • The fix would mean reinstalling printer software or changing the printer’s network settings.

What Little Fight checks

We compare the working computer with the failing one: the network, the printer software, saved printer entries, and the print queue. We also check how the printer gets its network address, because an address that keeps changing can make it vanish from some computers. You get a short note on what was different and how to add the printer back if it happens again.

Related questions

Why does the printer keep disappearing?

A printer can drop off when its network address changes, when it goes into a deep sleep, or when a computer switches to another Wi-Fi network. Reserving a fixed address for the printer on the router often keeps it in one place. Little Fight NYC can set that up.

Should we buy a new printer?

Not until the cause is clear. If one computer prints, the printer is working. The difference is usually in the other computer’s connection, settings, or saved printer entry. Little Fight NYC fixes office printer problems before anyone buys new hardware.
