What this means for your business

The logo on the terminal is not the whole system. Hardware, payment processing, apps, support, network, contract, replacement timing, and closeout all matter when the room is full.

What to watch

  • A quote that leaves out processor, reseller, app, hardware, or support terms.
  • Tabs, tips, modifiers, printers, or offline steps skipped in the demo.
  • Support responsibility split among several companies.
  • A cutover scheduled without staff training or fallback.

Do this next

  • Write ten ugly rush-hour orders and the nightly close.
  • Run them on the exact hardware and plan quoted.
  • Read payment, term, cancellation, support, and replacement terms.
  • Document network, offline, cash, and escalation procedures.

Tabs and the nightly batch

A pre-authorization is a hold placed on a guest’s card when the tab opens. The batch is the day’s card sales, sent off so you get paid. In a bar open late, the two run into each other.

  • Toast says a pre-authorization lasts 24 hours. Pre-authorized checks do not close on their own. Toast says to close them before the auto-batch time, typically 4 a.m. Any still open then are voided. If you pour until 4, ask Toast how your batch time is set.
  • Toast says a guest with enough money for the hold, but not the full check, gets declined at close-out. Toast also says a tapped chip card does not put the guest’s name on the tab; dipping does.
  • Clover’s auto-closeout sends the day’s card sales for processing during a 50-minute window. Clover says to enter paper tips 50 minutes before your closeout time. If closeout runs first, Clover says the unentered tips are lost; its support can add them by hand, but that delays the batch’s deposit. Some owners and admins can change the closeout time in the dashboard; if not, Clover support changes it.

Test it on both: open a tab at 1 a.m., add rounds, leave a paper tip, and close it after your real last call.

When the internet drops mid-rush

  • For tabs, Toast says new pre-authorizations do not work in Offline Mode. A card pre-authorized before the outage can still close a check, and that payment waits in a queue until the device is back online. Regular card payments still work offline. Toast says you are responsible for declined, expired, or disputed offline payments, lets you set a dollar limit above which an offline card payment needs a manager, and strongly recommends getting devices back online within three days, preferably within 24 hours. Toast also warns that uninstalling the app or clearing the device memory permanently deletes stored payments.
  • Clover sets offline payments device by device. You can cap each offline payment and the total a device takes offline. Clover says devices can take offline payments for up to 7 days, and you accept the risk of a declined or partial payment. Clover also warns not to uninstall the app while offline, because that deletes the offline payments.

Ask each vendor which payment types stop working offline and who carries a decline. Then test it in each demo: unplug the cable that brings internet into the modem and leave the router and Wi-Fi on, the way a real outage looks. Open a tab on one terminal and look for it on another. Run a card, print a ticket, reconnect, and check what went through. If drops happen now, first check whether it is the internet or the Wi-Fi.

Who sold it to you decides how you leave

Clover is sold directly and through banks and other partners. Its pricing page says contract terms and termination fees vary by that provider. It also says Clover devices bought or leased from other sellers cannot be used with other payment processors. So the seller’s contract, not the logo on the screen, sets your exit.

Toast’s billing FAQ says you must use Toast’s processing services, and no other processor can run alongside it. If you switch to Toast, you must cancel the old processor yourself. Ask both for the full agreement, the seller’s legal name, and the term before you sign.

If your bar already closes clean on either system, keep it. Fix the network and the tab routine before you pay to switch.

When Little Fight fits

We help NYC venues map, test, network, and document the complete setup. We do not sell either register and payment system and will not declare a winner from a feature grid.
