What this means for your business
Google says verified businesses can reply and those replies are public. A response can show that the business listens, but it cannot erase the review or prove who is right.
What to watch
- Copy-paste replies that sound automated.
- Customer, employee, order, health, or payment details in public.
- Promises or admissions made while angry.
- Incentives offered for changing or removing a review.
Do this next
- Read the review once, then wait before replying if needed.
- Thank the person or acknowledge the concern.
- State one useful fact without arguing the whole case.
- Offer the real private support channel when details are needed.
What happens after you post a reply
- You need a verified profile to reply. In your Business Profile, select Read reviews, then Reply next to the review.
- Google checks each reply against its content policies. Google says that usually takes up to 10 minutes but can take up to 30 days.
- The reply shows as the business, not under your personal name.
- The reviewer gets notified and can still change the review. You can edit or delete your reply later from the same Read reviews screen.
Google’s own reply tips add two points. Don’t use a reply to push deals or promotions. And don’t take the blame for things outside your control; say what you can and can’t do.
When a review breaks the rules
Report it instead of arguing in public. Google says only reviews that break its policies can be removed. It also says it doesn’t get involved in disputes between businesses and customers.
- What counts: fake or paid reviews. Reviews with a conflict of interest count too, such as one from a current or former employee or a competitor.
- How: in your Business Profile, select Read reviews, then Report next to the review. Pick a reason and send it.
- Then wait. Google says evaluation typically takes several days. Track it in the Reviews Management Tool. If Google finds no violation, you get one appeal.
- Someone posts bad reviews, then asks for money to take them down? Don’t pay. Save every message. Google has a separate report path for extortion scams involving negative reviews, linked from its page on reporting reviews.
Why a review isn’t showing up
Ask the customer if they can still see it, and save a screenshot. Then check Google’s list of reasons.
- New reviews are checked against policy first. Google says that can delay them a few days.
- After two profiles are merged, reviews from both can take a few days to show.
- Customers on older phones may have trouble posting. Google suggests they update the Maps app. They must also be signed in to a Google Account, which can use a non-Gmail address.
- Reviews removed for breaking policy won’t come back. If Google’s spam filter took down a real review, contact Google support. The same goes if reviews vanished after a profile was reinstated.
Ask for reviews without risking the profile
Google lets you share a review link or QR code, a square code customers scan with a phone camera. Put it on receipts, in a thank-you email or by the register.
- Ask every customer, not only the happy ones. Google’s policy bars selectively asking for positive reviews.
- No discounts, freebies or payment in exchange for a review.
- Don’t pressure people to review while they are still in the shop. Don’t give staff a review quota or ask reviewers to name an employee.
- Don’t ask staff or family to fill gaps. Google’s policy treats work and family ties as a conflict of interest.
Fixing the profile itself is a separate job. Here are Google Business Profile tips that follow Google’s rules.
When Little Fight fits
We can fix the website and contact path a review exposed. Legal threats, harassment, or regulated complaints need qualified advice, not a clever reply.
