List the systems they used. Have each account owner check and remove that access, including shared links. Keep the records the business needs and transfer control of files before closing an account. Little Fight NYC can help list those systems and check that the access is gone.

Check this first

  1. List the tools and folders the contractor used, including shared links.
  2. Check each tool’s user list for their name and personal email address.
  3. Make sure someone at the business is an admin on each tool and has its own copy of every file the contractor owns. Transfer files held in an account your business manages. If they sit in the contractor’s personal or company account, Google Drive will not move ownership to your work account, so make your own copy. Then remove their access and admin roles.
  4. Change shared passwords they knew and update recovery details they set.
  5. Review shared links that anyone with the link can open.

Specific fixes

In Google Drive

  1. Search Drive for files shared with the contractor’s address, and change any file set to Anyone with the link that should be private.

In OneDrive and SharePoint

  1. Remove the contractor’s guest access and any sharing links they still hold, then review the external sharing settings.

When to bring in help

  • The contractor set up your domain, website, or email.
  • Two-step codes or recovery emails still go to them.
  • No one at the business has admin access to a key account.

What Little Fight checks

We help list the systems, check user lists and shared links, and plan the order so the business keeps its files. Each account owner approves the removal. We record what was removed, what was transferred, and who manages each account now.

Related questions

Is turning off their email account enough?

No. Access to files, website builders, payment tools, and social accounts can continue without their work email. Check each tool’s user list. Little Fight NYC runs access reviews for small businesses when a contractor leaves.

What if we cannot get into an account they set up?

Ask the contractor to transfer ownership. If they will not or cannot, contact the provider with proof the business owns the account, such as invoices or domain records. Little Fight NYC can help gather the ownership proof providers ask for.
